You open ChatGPT, ask it for a quick Instagram caption, and what comes back sounds like a brochure. "Unlock your potential." "Elevate your brand." "In today's fast-paced world." You read it and think, I would never say that. So you rewrite the whole thing yourself, and now the "time saver" took longer than just doing it.

Here is the thing nobody tells you. ChatGPT does not sound generic because it is bad at writing. It sounds generic because it has no idea who you are. Every time you open a new chat, you are talking to a brilliant assistant on their very first day, with zero notes about your business, your customers, or the way you talk.

The fix is not a magic prompt. It is a setup. Do it once, and every caption, email, and post after that starts out sounding a lot more like you. Let me walk you through the exact five-step setup I use, plus a copy-paste prompt that does most of the heavy lifting for you.

Quick definitions

Brand voice: the way your business sounds when it talks. Your words, your rhythm, your humor, the stuff you would never say.

Custom instructions: a settings area in ChatGPT where you tell it about yourself and how you want it to respond. It reads these before every new chat, so you do not have to repeat yourself.

Project: a folder inside ChatGPT where you can keep chats, files, and instructions together for one area of your work, like your marketing.

Voice file: a simple document that describes how you talk, with real examples. Think of it as a cheat sheet you hand to anyone (or any AI) writing for you.

Why ChatGPT sounds like a robot (and why it is not your fault)

When you give ChatGPT a short request with no context, it fills the gaps with the most "average" version of marketing copy it can think of. That is where the buzzwords come from. It is not trying to sound fake. It is guessing, and its best guess is the middle of the road.

So the goal of this setup is simple: stop making it guess. You are going to give it three things it has never had before.

  • Who you are and who you serve.
  • How you actually talk, with real examples.
  • What you never want to hear coming out of your mouth.

Once it has those, the drafts change. Not perfect every time, but close enough that you are editing a sentence or two instead of starting over.

Step 1: Let ChatGPT interview you

Most people try to describe their own voice and get stuck. "Friendly? Professional? I don't know." That is normal. It is really hard to see your own voice from the inside.

So flip it. Let ChatGPT ask the questions. Open a new chat and paste this:

Copy-paste prompt: the voice interview

"I want you to help me write a voice file for my business so you can write marketing that sounds like me. Interview me one question at a time. Ask about who my customers are, what they struggle with, how I talk to them, words and phrases I use a lot, words I would never use, my sense of humor, and how I want people to feel after reading my content. After about 10 questions, write me a one-page voice file I can save and reuse."

Answer the questions the way you would talk to a friend over coffee. Do not polish. The messy, real answers are exactly what it needs. If you would rather talk than type, use the voice mode in the ChatGPT app and just ramble. That often captures your voice even better.

Step 2: Feed it real samples of your writing

Descriptions are good. Examples are better. ChatGPT learns your voice fastest when it can see it.

Gather a handful of things you have written that you actually like. A few good captions. An email that got lots of replies. A text you sent a client that felt very "you." Even a transcript of you talking on a video works great.

Paste them into the same chat and say:

"Here are examples of my real writing. Study the tone, sentence length, the words I use, and how I open and close. Update my voice file with what you notice, and add 5 example sentences that sound exactly like me."

Read what it gives back. If something feels off, tell it. "I would never say 'lovely.' Take that out." Every correction makes the file sharper.

Quick tip

Start a "never say" list right now. Every time ChatGPT uses a word that makes you cringe, add it to the list. Mine has things like "unlock," "elevate," and "game-changer." This one list does more to stop the robot sound than almost anything else.

Step 3: Put the short version in your custom instructions

Your full voice file is probably a page long. That is great for projects (more on that next), but you also want a short version living in your custom instructions so even quick, random chats start off sounding like you.

In ChatGPT, open your settings and find the personalization area where you can customize how ChatGPT responds. Ask ChatGPT to shrink your voice file down for you:

"Turn my voice file into a short version for my custom instructions. Include who I am, who I serve, how I talk, and my never-say list. Keep it tight."

Paste that in and save it. Now every new chat starts with the basics already loaded. No more introducing yourself from scratch every single time.

Step 4: Build a marketing project with your files inside

Custom instructions are the short version. A project is where the full version lives.

Create a new project in ChatGPT and name it something like "My Marketing." Then add your files to it:

  • Your full voice file from Steps 1 and 2.
  • A short description of your ideal customer and what keeps them up at night.
  • Your main offers, what they cost, and who they are for.
  • Your best-performing posts or emails as examples.

Then add project instructions that tell ChatGPT to always use those files before writing anything. Something like: "Before you write any marketing, read my voice file and customer file. Write like me, for my customer, and never use anything on my never-say list."

From now on, any time you need marketing, you start the chat inside that project. Caption, newsletter, sales page, it all pulls from the same files. That consistency is what makes people feel like they know you, even across different platforms.

Step 5: Keep teaching it (this is where it gets really good)

Your setup is not a one-and-done thing. It is more like training a new team member. The more feedback you give, the better it gets.

Here is the simple habit that makes the biggest difference. When ChatGPT writes something and you fix it, show it your edit and say:

"Here is what you wrote and here is my edited version. What did I change, and what should you do differently next time? Update my voice file with that lesson."

Then save the updated file back into your project. Do this a few times and you will notice the drafts start landing closer and closer to how you would have written them yourself.

What changes once your setup is done

This is the part I love seeing. Once your setup is in place, your relationship with ChatGPT changes.

  • You stop dreading the blank page, because you are reacting to a draft instead of creating from nothing.
  • You stop rewriting entire posts, because the bones are already in your voice.
  • Your content feels consistent, whether it is a caption today or an email next month.
  • You actually trust it enough to use it, which is the whole point.

And here is a bonus. The voice file you just built is not locked to ChatGPT. You can upload the same file into Claude or any other AI tool and get the same benefit. You built it once, and it works everywhere.

Your 30-minute setup plan

If you want to knock this out today, here is the order:

  1. Run the voice interview prompt and answer every question honestly.
  2. Paste in a few pieces of writing you love and update the voice file.
  3. Start your never-say list.
  4. Put the short version in your custom instructions.
  5. Create a "My Marketing" project and add your voice file, customer file, and offers.
  6. Ask it for one caption and see how different it feels.

Frequently asked questions

Do I need a paid ChatGPT plan for this setup?

Custom instructions work on most plans. Some features, like projects and file uploads, can depend on your plan and may change over time. If you do not have projects, you can still paste your voice file at the top of a chat and get a big improvement.

How many writing samples should I give it?

Quality beats quantity. A handful of pieces you genuinely like is plenty to start. Pick things that sound most like you on a good day, not the stiff stuff you wrote because you thought it sounded "professional."

What if I do not like my own writing?

Then skip writing and talk. Record yourself explaining what you do to a friend, or use the ChatGPT voice mode for the interview. Most people sound much more like themselves out loud than on paper.

Will ChatGPT remember my voice in every chat?

Your custom instructions apply to new chats, and your project files apply to chats inside that project. That is why this setup uses both. Start your marketing chats inside your project for the best results.

Can I use the same voice file in Claude?

Yes. It is just a document, so you can upload it to Claude, put it in a Claude project, or paste it into any AI tool. Your voice belongs to you, not to one app.

How often should I update my voice file?

Any time you catch yourself making the same edit twice. That is a sign ChatGPT needs a new lesson. A quick refresh every month or so keeps it sounding current as your business grows.

Want your marketing to sound like you every time?

Here is what most people do not realize. Once you have your voice set up and you know how to use Claude or ChatGPT, you can automate almost all of your marketing.

I just trained 450 people on my AI Marketing Machine skill. You install it, answer a few questions, and it takes my 20 years of marketing and puts it into 6 files that live on your laptop. It is the setup in this post, done for you and taken a lot further. From then on, every time you ask Claude or ChatGPT to make something for you, it pulls from those files and writes content that sounds exactly like you.

It is not magic. It is just a new kind of technology, and you do not need to be a developer to use it.
